C40 cities represent more than 700 million urban citizens and their economies account for 25% of the global GDP. C40’s ‘Deadline 2020’ report sets out the critical role that the world’s major cities have to play in delivering the historic Paris Agreement to prevent catastrophic climate change. 

 

C40’s team of 200+ staff is headquartered in New York, with offices in London, Rio de Janeiro, Copenhagen, Beijing and Paris and individual staff based across 25+ different locations. C40 is primarily funded through the generous support of philanthropic foundations.  

 

The strategic direction of the organization is determined by an elected Steering Committee of C40 mayors which is chaired by the Mayor of Los Angeles, Eric Garcetti. Three-term Mayor of New York City Michael R. Bloomberg serves as President of the C40 Board of Directors, which is responsible for operational oversight. A nine-person management team, led by Executive Director, Mark Watts, leads the day-to-day management of C40. C40’s three core strategic funders are Bloomberg Philanthropies, the Children’s Investment Fund Foundation (CIFF) and Realdania.

 

Department and Position Description

The Finance team forms part of the Corporate Services Department, along with HR, IT, Legal and Operations. The Director of Finance works closely with the Head of HR and Head of Operations to ensure efficiency of day-to-day business practices, such as grant management and procurement, and on expansion into new territories.  The Finance Assistant reports to the Finance and Grants Officer and is responsible for maintaining a high standard of bookkeeping within the Finance team. The role is focussed on, but not limited to the accounts payable process, including making payment runs and processing credit card expenditure for colleagues who travel regularly on C40 business. The post holder will work directly alongside one other Finance Assistant and tasks will be split according to business need.

 

Responsibilities:

  • Management of the accounts payable process:
    • liaising with suppliers to collect billing information
    • reviewing and coding invoices in C40’s invoice and expenses system (Concur)
    • ensuring that C40 staff submit their credit card and expenses reports on time
    • reviewing corporate credit card expenditure and out-of-pocket expenses
    • uploading invoice and expenses information into C40’s Financial Management System (InforSunSystems)
    • processing regular payment runs
  • Management of the Finance inbox, dealing with expenses queries, invoices, reimbursement requests and other correspondence from staff and suppliers
  • Ensuring that travel expenditure incurred by C40 staff is in line with C40’s Travel & Expenses Policy and IRS/HMRC guidelines
  • Preparing journal uploads for the Financial Management System
  • Assisting in keeping system guidance and process notes up to date
  • Managing C40’s corporate credit card program, dealing with changes in limits and new and cancelled cards
  • Undertaking special Finance projects as necessary
  • Supporting the Finance team during audits by gathering documents and answering queries as required
  • Supporting the Finance team more widely on a variety of tasks as required
  • Administration for C40’s City Finance Team, including organising meetings (approximately 1 day per week)

Person Specification:

  • Degree or equivalent work experience
  • Experience of working in accounts payable within a wider Finance team
  • Excellent numeracy, literacy and analytical skills
  • Ability to communicate effectively with colleagues and stakeholders at all levels
  • Ability to maintain confidentiality when dealing with sensitive financial information
  • Ability to work proactively and prioritise tasks effectively in order to meet deadlines
  • Strong organisational skills, with excellent attention to detail
  • Ability to work in a fast-moving and high-pressure environment
  • Ability to quickly learn new IT applications. This is essential because C40 is a paperless organisation and the work of the Finance team is carried out across several systems
  • Good working knowledge of Excel, including Pivot tables and Lookup functions

Other Requirements:  Applicants must already have the right to work in the United Kingdom. Some travel may be required as part of the role.

Term: Indefinite Contract

Salary: £28,690 gross per annum
